01Requests and confirmation
Submitting a time through the website creates an appointment request. A request becomes confirmed only after VAICAE reviews the intake information and sends written confirmation through My Account or email. VAICAE may contact you when the scope, location, personnel, access, or production requirements need clarification.
02Pricing, deposits, and balances
A listed session price reflects the standard scope shown on its service page. Add-ons, travel, permits, rentals, extra locations, extended coverage, additional personnel, expedited delivery, and work outside that scope may change the final price. When payments are activated, any required deposit and remaining balance will be stated before the appointment is finalized. Custom projects are governed by the accepted proposal and service agreement.
03Rescheduling and cancellations
Customers may request a new available time through My Account. A reschedule is not final until VAICAE approves it. Cancellation and refund eligibility may depend on notice, expenses already committed, and the applicable service agreement. VAICAE may reschedule or cancel when weather, safety, access, illness, equipment, staffing, or another production issue makes the original plan impractical.
04Locations and participation
Customers are responsible for providing accurate contact, access, participant, and location information. Unless a specific address appears in the confirmed appointment, the final location remains subject to written confirmation. Minors must have an authorized parent or guardian involved where required.
05Creative scope and delivery
Deliverables, turnaround time, usage rights, revisions, archival period, and delivery method depend on the selected service or signed agreement. Portal delivery links and files are provided to the authorized client account and should not be shared when they contain private or licensed material.
06Records and communication
VAICAE My Account is the official record for appointment status, schedule changes, project messages, and released deliverables. Customers are responsible for keeping their email, phone number, and account access current and for reviewing time-sensitive updates.
